Policies & Procedures


At Rooted Rose our mission is to be as open and transparent about our policies as possible to provide a clear understanding of how our business operates. The conditions, accountability and limitations of the liability and operations within the Rooted Rose Recreation and Wellness company are listed below. 

Rooted Rose reserves the right to cancel any trip. At any time an activity can be canceled or delayed due to weather, minimal attendance or other emergency situations such as unexpected park closures. Rooted Rose will make it clear to the participant as to why through memos sent via text message, email or phone call. The participant options will be to either receive a refund or transfer their credit to another event.  In the event that a guest cancels their booking and we are able to fill the spot, we will make an offer to refund at least 60% of the value or transfer to a credit for a future booking. In the event of leaving in the middle of a trip, depending on circumstances, Rooted Rose agrees to refund the participant at least 30% the trip’s total or exchange the transfer for credit to a future booking.  If an activity is canceled due to weather, minimal attendance or other emergency situations or unexpected park closures or shut downs, Rooted Rose will make it clear as to why the event has been canceled. 


No Shows or Late Attendance

Any participant who does not communicate their absence outside of 24 hours of the event will not receive a refund. As long as there is communication before class begins, the participant who is either late or did not show up will be able to transfer their booking to a future event. Late attendance with communication will be cared for as much as possible until it would no longer respect the present group’s time and the overall safety of all participants.


Arrival and Weather Conditions

Please always arrive at least 15 minutes before class to prepare and to make sure all your gear is secure. Class is always held at the scheduled time. If you are going to be late, please contact us so we may plan accordingly. We will be in touch with any detailed changes as soon as dangerous circumstances arise. Our goal is always to keep you as safe as possible and educate everyone about the best practices to be able to do so.

Please note:

If heavy rains or thunderstorms start before half the class has elapsed, causing us to cancel mid class, participants will be given the option to exchange to another date or receive a refund. If it is over half the class time, no refund will be issued however, a transfer may be applicable based on the circumstance.


Communications

Being transparent and supportive with our customers is always at the top of our priority list when hosting events. A reminder email is always sent out 24 hours in advance, solidifying the location’s details & an overall tentative schedule of the activity. A text, call or email will be made at least 2 hours before a scheduled class time in the urgency of postponing, canceling or any other unexpected changes of the event.  If an activity is canceled due to weather, minimal attendance or other emergency situations such as unexpected park closures or shut downs Rooted Rose will make it clear as to why. This includes all class times. 


Single Day Experiences

MOUNTAIN & TRAIL DAY ACTIVITIES

Booking any mountain/forest/trail/backyard adventure is done on our website and once booked you are put in our system. Refunds will be issued due to unforeseen and dangerous weather, limited attendance (of less than 2) or other emergency situations such as unexpected park closures/shut downs. Depending on the event and circumstances refunds may be transferable. Cancellations and no shows inside of a 24  hour window of the event will not be issued a refund. Once booked, you fall under our cancellation policy.


WORKSHOP & CLASS ACTIVITIES

Booking is done on our website and once booked you are put in our system. Refunds will be issued due to unforeseen and dangerous weather, limited attendance (of less than 2) or other emergency situations or unexpected park closures/shut downs. Depending on the event and circumstances refunds may be transferable. Cancellations and no shows outside of a 24  hour window of the event will not be issued a refund.


WATER OPERATIONS

Booking any water adventure  is done on our website and once booked you are put in our system. Refunds will be issued due to unforeseen and dangerous weather, limited attendance (of less than 2) or other emergency situations such as unexpected park closures/shut downs. Depending on the event and circumstances refunds may be transferable. Cancellations and no shows outside of a 24 hour window of the event will not be issued a refund. Once booked, you fall under our cancellation policy.


Backpacking Trips, Retreats, and Multi-Day Events

Booking is done on our website and once booked you are put in our system. Refunds will be issued due to unforeseen and dangerous weather, limited attendance (of less than 2) or other emergency situations or unexpected park closures/shut downs. Depending on the event and circumstances refunds may be transferable. Cancellations and no shows outside of a 24  hour window of the event will not be issued a refund.

.No refunds for cancellations within 24 hours of the event but depending on which event, may be transferable. Once booked, you fall under our cancellation policy.

There will be multiple emails and conversations leading up to your event, including a group meeting so you may feel fully prepared for this experience. A reminder email is always sent out at least 24 hours in advance, solidifying the meet up times, details  & an overall tentative schedule of the retreat activities. A text, call or email is made at least 2 hours before a scheduled departure time in case of postponing, cancellation and unexpected detail changes of the event.
